A letter of recommendation or recommendation letter, also known as a letter of reference, reference letter or simply reference, is a document in which the writer assesses the qualities, characteristics, and capabilities of the person being recommended in terms of that individual’s ability to perform a particular task or function. Letters of recommendation are typically related to employment (such a letter may also be called an employment reference or job reference), admission to institutions of higher education, or scholarship eligibility. Recommendation letters are usually specifically requested to be written about someone, and are therefore addressed to a particular requester (such as a new employer, university admissions officer, etc.), although they may also be issued to the person being recommended without specifying an addressee. References may also be required of companies seeking to win contracts, particularly in the fields of engineering, consultancy, industry and construction, and with regard to public procurement and tenders. Reference letters for organizations are used to assess its ability to deliver the required level of service.

Some applications, such as professional schools give applicants the choice to waive their right to view their letters or not. Usually, applicants are encouraged to waive their rights because if they do not, it is a sign they are not confident in their recommenders. Procedure
  • A non-governmental organization (NGO) is a non-profit, voluntary citizens’ group that is organized on a local, national or international level.
  • All NGO’s must be registered by NGO Coordination Board in accordance with the NGO coordination Act.
  • NGOs are required to furnish the NGOs Co-ordination Board with the account number(s) immediately the accounts are opened.
Apply In-Person
  1. The Board of directors of a NGO should carry out a meeting to open a bank account.
    (i). The minutes to the meeting should be signed by all the registered officials, stating signatories and signing instructions.
    (ii). The minutes must resolve to open a bank account.
    (iii). The minutes MUST also stipulate the specific branch and the signatories of the account. As well as the signing instructions.
    (iv). Note that all NGO bank accounts MUST have at least one Kenyan substantive board member as a signatory
  2. You should the write an Introduction letter addressed to the Executive Director (ED) of NGOs Coordination Board requesting for the recommendation letter.
    (i). The request must be specific.
    (ii). The letter must specify the bank, branch and the signatories of the account the NGO intent to open.
  3. Submit the introduction letter and minutes to the Non-Governmental Organizations Co-ordination Board.
  4. You should then proceed to pay the processing fees. A Processing fee of KSH. 4,000 is charged for the recommendation letter. Payments by Cheque or cash should be made to:
    NGO’s co-Ordination Board Account no: 01136030582102
    Co-operative bank
    Co-op house branch
  5. The processing time for the recommendation letter is one day, thereafter the NGO’s contact person will be contacted by the NGO board and be issued with a recommendation letter.
  6. NGOs are required to furnish the NGOs Co-ordination Board with the account number(s) immediately the accounts are opened.

  1. A Letter addressed to the Executive Director requesting for the recommendation letter. The request must be specific.
  2. Original full board minutes signed by all the registered officials, stating signatories and signing instructions. The minutes must resolve to open a bank account.

  • The recommendation letter enables a Non-Governmental Organizations (NGO) to open a bank account. Banks require a recommendation letter to open a bank account.
Information which might help
  1. The Non-Governmental Organizations Co-ordination Board is a State Corporation established by the Non-Governmental Organizations Co-ordination Act (Cap 19) of 1990. The Board has the responsibility of regulating and enabling the NGO sector in Kenya.
  2. The Board is currently under the Ministry of Interior and Coordination of National Government.
  3. The NGOs Co-ordination Board is responsible for inter alia registering, facilitating and coordinating all national and international NGOs operating in Kenya; advising the government on their contribution to national development; providing policy guidelines for NGOs to align their activities with national priorities and receiving and analysing NGOs annual reports. To facilitate and co-ordinate the work of all national and international NGOs operating in Kenya.
  4. All NGO applications should be typed or filled in block letters.
  5. All applications MUST contain ORIGINAL signatures of the officials and members as applicable.
